About this role
The Delegation of the European Union to the United Republic of Tanzania and the East African Community, based in Dar es Salaam, is seeking a Secretary to join its Infrastructure Section. The EU is an economic and political partnership between 27 European countries and plays a significant role in international affairs through diplomacy, trade, development aid and cooperation with global organisations. Abroad, the EU is represented through more than 140 diplomatic missions known as EU Delegations, which function similarly to embassies. The EU Delegation to Tanzania and the EAC works in close coordination with the embassies and consulates of EU Member States and represents the European Union in dealings with the Tanzanian government.
The selected candidate will serve under a fixed-term employment contract of two years with a nine-month probation period, subject to renewal based on budgetary availability and operational needs. The expected start date is mid-October 2026. The role reports to the Head of Infrastructure Section and involves providing comprehensive secretarial and administrative support to a team of ten people, with occasional atypical working hours. Core duties include managing office communications, workflows and the Head of Section's calendar, receiving visitors, screening calls and answering queries.
The post holder will organise high-level meetings, prepare agendas and documentation, take minutes and follow up on required actions. Administrative responsibilities cover correspondence management, filing and archiving using IT tools, tracking deadlines, preparing briefing materials and drafting responses to written enquiries. The role also involves coordinating mission arrangements, budget follow-up, leave and attendance recording, procurement of office supplies, and inducting new staff to administrative procedures. Applicants must have a minimum of four years of professional experience as a secretary, personal assistant, office manager or in a comparable administrative role.
Excellent command of English and Kiswahili, both oral and written, is required alongside strong document management, archiving and IT skills, familiarity with AI tools, and the ability to coordinate, monitor and follow up on tasks.
