Administration Officer
About this role
Jhpiego Tanzania is recruiting an Administration Officer to coordinate administrative, travel, facilities, and office support services across its country operations. Reporting to the Senior Operations Manager, the officer serves as the main administrative focal point, handling vendor relationships, travel logistics, facilities services, office administration, and regulatory compliance. Core responsibilities include supervising support staff such as cleaners and security, maintaining filing systems, coordinating procurement to ensure office supplies are available, managing the reception area, acknowledging and routing incoming mail and invoices, overseeing utilities and office equipment, and following up with vendors for repairs and after-sales service. The officer also arranges hotel bookings, airport transfers, and travel advances for staff, consolidates hotel agreements and negotiates rates, prepares purchase orders, reconciles monthly hotel statements with the finance team, and works with zone offices to close outstanding purchase orders.
Applicants must hold a bachelor's degree in business administration, public administration, management, or a related field, and have at least six years of progressively responsible experience in administration, office management, travel coordination, facilities management, or operations support. Experience in a busy office, preferably in the private sector or with an international organisation, is required. Basic computer skills, ability to operate a PABX phone system, and proficiency in both English and Kiswahili are necessary, along with strong front office and reception skills, sound organisation, flexibility, self-motivation, and effective communication. Preferred candidates will demonstrate high integrity, confidentiality, and willingness to take on extra responsibilities.
