Administration Officer, Hotels
About this role
Jhpiego is recruiting an Administration Officer to oversee administrative, travel, facilities, and office support services across its Tanzania operations in Dar es Salaam. The officer is a key focal point for administrative operations and works closely with the Senior Operations Manager to improve systems, processes, and service delivery standards while keeping services responsive, cost-effective, and aligned with organizational policies and donor requirements. Core responsibilities cover office management and hotel coordination. The officer supervises support staff, including cleaners and security, ensures proper documentation and filing, coordinates with the procurement team on office supplies, manages utilities, equipment, and the reception area, and oversees building safety and vendor follow-up.
On the hotels side, the officer arranges staff hotel bookings, airport transfers, and travel advances, consolidates and renegotiates hotel agreements, uploads the hotel list to my.jhpiego.org, reconciles monthly statements, collects invoices, prepares purchase orders, supports VAT refund claims, and works with finance to close unpaid purchase orders in QuickBooks and across zone offices. Required qualifications include a bachelor's degree in business administration, public administration, management, or a related field and at least six years of progressively responsible experience in administration, office management, travel coordination, facilities management, or operations support. Candidates should have worked in a busy office, ideally within an international organization, and must possess basic computer skills, the ability to operate a PABX phone system, strong front-office and organizational skills, and proficiency in English and Kiswahili. Preferred attributes include excellent interpersonal and communication skills, high integrity, confidentiality, and a willingness to take on extra responsibilities.
