About this role

The Benjamin William Mkapa Foundation is seeking a highly organized and discreet professional to serve as Executive Assistant to the Chief Executive Officer. This role provides proactive executive support to the CEO by coordinating strategic priorities, stakeholder engagements, governance processes, executive communications, and office operations. As the central coordination point for the CEO's Office, the post-holder ensures effective planning, follow-up, information management, and Board support while utilizing digital tools to drive organizational efficiency and support the Foundation's growth and impact agenda. Core responsibilities span calendar and travel management, meeting and event coordination, and the preparation of agendas, briefing notes, presentations, and minutes.

The post-holder drafts and reviews high-level correspondence, speeches, reports, and stakeholder communications on behalf of the CEO, and serves as the primary liaison between the CEO's Office and internal and external stakeholders including Board members, development partners, government officials, donors, and staff. Secretariat duties include supporting the Board of Trustees, Board Committees, and Senior Management Team, encompassing meeting coordination, Board pack preparation, minute recording, and monitoring of action points and implementation of decisions. Additional functions include managing records and document management systems, leveraging digital collaboration platforms and project management tools, and supporting the planning of strategic events, donor missions, and stakeholder engagements. The ideal candidate holds a Bachelor's Degree in Business Administration, Public Administration, Management, Secretarial Studies, Communications, or a related field, and brings a minimum of five years' experience providing executive support to a CEO, Executive Director, or senior executive.

Prior experience supporting Boards, Committees, or Senior Management Teams is required. Strong organizational, planning, stakeholder management, written, and verbal communication skills are essential, along with proficiency in Microsoft 365 applications and digital productivity tools. The role demands a high level of integrity, professionalism, discretion, and the ability to handle confidential information. The Foundation is a Tanzania-based organization focused on strengthening health systems and coordinating health partnerships across the country.
