About this role
's Tanzania office, orchestrating seamless support across four interconnected pillars: Administrative and Logistics Support, Front Desk and Office Management, Hotel Bookings for Staff, and Asset and Equipment Oversight. By ensuring that staff and guest needs are met, maintaining a secure and well-functioning office environment, coordinating travel and accommodation, and safeguarding organisational property, the Administration Officer transforms routine operations into a reliable framework that empowers teams, enhances productivity, and sustains organisational excellence across the country programme. Core responsibilities span managing communications infrastructure such as airtime, Closed User Group connections, data allocations, and internet connectivity in coordination with the IT team, while also responding promptly to issues raised through the Admin Help Desk. The role arranges travel, accommodation, and visitor services for both international guests and local staff, including flight bookings, airport transfers, travel insurance, and logistics for office-based events such as retreats.
Front desk duties include welcoming visitors, maintaining office cleanliness and presentation, monitoring access for security, managing phone and mail communications, and overseeing opening and closing procedures. The officer also supervises office facilities, including security operations, cleaner performance, utility monitoring, vendor coordination for repairs and water delivery, and maintenance of equipment such as water dispensers, air conditioners, and fire extinguishers. Asset management responsibilities cover reviewing equipment policies, maintaining asset trackers, enforcing sign-out and return procedures, arranging insurance coverage, and supporting logistics for programme materials. Hotel booking duties involve monitoring staff requests for compliance, maintaining booking records, managing hotel relationships, collecting invoices for finance processing, training staff on policies, and managing hotel contract renewals.

The position is full-time, based in Tanzania, and reports to the Head of Tanzania Operations.
